CSV and Excel files are read column by column. We recognise the shape of the common export formats, so names, phone numbers, prices and dates land where they belong.

A price list saved as a PDF, a screenshot of your client list, a photo of a paper diary — AI reads them into the same preview, and rows that came from AI are marked so you can check them before importing.

When a file can't be read confidently, we don't invent the missing parts. It goes to our team instead — free — and it still shows up in the same report.

What can't come with you

Two honest limits. Both are worth knowing before you start, not after.

Saved card details
Card details can't move between booking systems — payment rules don't allow it, anywhere. Your clients simply add their card again at their first online payment. Nothing else about them is lost.
Gift cards, memberships and product stock
These don't move yet. Run them down on your old system while it's still open, or tell us what you have and we'll plan the switch with you.

Questions people actually ask

Is this legal?
Yes. It's your business's own data — your client list, your prices, your appointment book — and moving it to a new provider is ordinary, lawful processing. You run the exports from your own account; we never log in to your old system on your behalf. We also provide a standard data-processing agreement and wording you can add to your privacy policy.
Will my clients get emails?
No. An import sends nothing — no email, no SMS, no “we've moved” announcement. Imported clients also get a quiet period, so reminders and win-back campaigns leave them alone until you say otherwise. Announcing your move stays your decision, on your timing.
What files work?
Whatever you have. Exports and spreadsheets are the easy case; PDFs and photos are read with AI; and if a file defeats both, our team reads it for you at no cost. There's no special format to produce first, and nothing to tidy up before you drop it in.
I have more than one location.
Import one location at a time, each into its own Appointer location, so your per-location numbers stay clean. A second import matches the clients you already have instead of creating them twice.
Can I undo it?
Yes — one click, for seven days. It removes everything that import created. Anything that has gained real activity since — a client who has booked, for instance — is kept and listed for you, so an undo can never erase live work.
What does it cost?
Nothing, on every plan including Free. That covers the self-serve import, the AI reading of PDFs and photos, and the concierge move where our team does it for you. It doesn't use up any of your plan's credits.
